Business records & CPA handoff

The year, already assembled for your accountant.

VSN is designed to keep the business record as the work happens — vendor, job, invoice, payment and closure, together. Year-end becomes a handoff, not a reconstruction.

In shortYour year’s work, payments and settlements, organized as they happen and handed to your accountant as one traceable package. A record — not tax advice. In development.

The usual year-end

Five places, rebuilt in March.

A job’s story is split across a bank export, an inbox, a folder of receipts, a spreadsheet and a payment dashboard. Nobody wrote down which payment closed which invoice — so someone reconstructs it later.

Today On VSN Bank export with amounts and dates Payments tied to the invoice they paid Receipts in an inbox or a shoebox Receipts attached to the job and vendor A spreadsheet of who owes what Open and closed items, kept as states Provider dashboards, one per tool Provider events matched to the record Rebuilt by hand at year-end Grouped and handed over for review
Through the year

The record builds itself as the work moves.

Each step attaches to the one before it. By the time a job closes, its vendor, invoice, payment and evidence already sit together — nothing to match up later.

  1. Vendor & job01 A vendor or customer is connected to a job before money is involved. Attaches Parties, scope, dates Rolling out
  2. Invoice02 The invoice is raised or received inside the job it belongs to. Attaches Line items, terms, documents Rolling out
  3. Payment03 When money moves, the payment event lands on that invoice — not in a separate feed. Attaches Provider event, amount, date Rolling out
  4. Closure04 The obligation is confirmed closed by the people responsible, with evidence. Attaches Approvals, evidence, closure record In development
Why it matters at year-end

A payment moves money. A settlement closes an obligation.

A bank line says money moved. It doesn’t say the work was accepted, or that the invoice is finished. VSN keeps those as separate states, so your accountant sees which items are truly closed and which are still open.

Through VSNThe work, invoice and payment all happened on VSN, so the chain is complete.
Deliberately recordedSomething that happened elsewhere, added on purpose and marked as such — never passed off as native.
Awaiting closureMoney may have moved, but the obligation isn’t confirmed closed. It stays visibly open.
The year-end package

Summaries on top. Every line traceable underneath.

The package groups the year for review, and every figure carries a reference back to the VSN record it came from — the invoice, the payment event, the evidence and who approved it.

What VSN is not

  • Not an accounting firm, tax preparer or financial advisor.
  • Not tax advice, an audit, a review engagement or a filing.
  • Not a bank, lender or escrow agent.
  • Not a replacement for your accountant’s judgment.

Work as you normally do, and the record builds alongside it.
